Planning an Event
Union Seminary's campus boasts stunning architecture, a large and well-manicured quadrangle, and various spaces, both large and small, which are ideal for a variety of gatherings. Please read the event procedure and basic guidelines below, which apply to all events at Union, then fill out Union Theological Seminary’s reservation request form (link available below). Please allow 72 hours for your request to be processed.
|Please note: All reservation requests must be submitted AT LEAST 2 weeks prior to the event. If your event is open to the public, and/or if it requires IT, media or publicizing a greater lead-time is required. We strongly encourage you to submit your applications several months (3 to 4 months) before the date considered. Greater lead-time helps all Seminary offices prepare appropriately.
Faculty, staff, students and guests who wish to make event reservation requests for campus spaces must fill out Union Theological Seminary's Event Reservation Request Form.

Event Procedures & Basic Guidelines:
Avoid Scheduling Conflicts: We encourage major events to be scheduled at least three months in advance.
Responsible Party: A person in charge of each meeting or event must be clearly identified, and she or he is to be present throughout the event.
Set-up and Clean-up: Any special set-up and clean-up arrangements must be approved by the Director of Housing and Campus Services. If the primary sponsor is not a member of the seminary community, the sponsoring group will be required to pay in advance and to pay for overtime.
Security Requirements: A security guard will be required for public events with more than 50 persons in attendance. If the primary sponsor is not a member of the seminary community, the sponsoring group will be required to pay in advance for the services of a guard employed by Union's contracted security firm.
Personal Property: The seminary insures art work included in authorized exhibits in the Chapel, but no other art work or personal property brought on campus.
Alumni/ae and Friends of the Seminary: The Development Office must be notified at least four weeks prior to an event if alumni/ae and friends of the Seminary are invited.
Emergencies: Response to emergencies is coordinated through the Hastings front desk at 212-280-2440.

The Seminary welcomes space reservations for conferences, retreats, business presentations, board meetings, dinners, and weddings. Three large welcoming rooms are available for rental: the Social Hall, the Refectory and James Chapel. We also offer superb in-house catering services. Union Theological Seminary is a residential and educational community Therefore, an 11:30 p.m. curfew on music is enforced, and guests are requested to remain in the vicinity of their event.
Rooms are rented for an 8-hour period (consisting of five (5) hours for event and three (3) hours for clean up). Each additional hour will be charged at $500.00/hr. All rooms require a $500.00 refundable deposit to confirm the reservation. Cancellations made fewer than four (4) months before the event will result in forfeiture of the entire deposit, unless the space can be rented again. (Full refund can be arranged only if notice of cancellation is received one month in advance). Full payment of room rental fees is due 60 days in advance of the event.

The Social Hall is located on the ground floor of the Seminary overlooking the Quadrangle garden.
Suitable for receptions, cocktail parties and weddings, it has a natural oak floor and linen white walls.
Area: 2,600 sq. ft.
Capacity: 134 people
The Seminary Quadrangle Garden is a popular place to gather for a pre-conference reception or a small wedding.
The Refectory on the second floor of the Seminary also overlooks the Quadrangle garden. With its dark wood paneling, and forty-foot arched, beam ceiling it is suitable for formal dinners, buffets, and receptions.

James Memorial Chapel
James Memorial Chapel is a non-denominational chapel built at the turn of the century and renovated in 1980.
The Chapel has a pitched wooden "angel" ceiling supported by stone pillars, a gray slate floor, and colorful stained glass windows.
One of these windows depicts "The Risen Christ" and the remaining windows are patterns of color. James Chapel combines the beauty of Gothic form with flexibility.
Its movable chairs and large stage area may be arranged in various configurations to accommodate a variety of events, from weddings and conferences to theatrical pieces and art shows.
